PatientFlow MS is operated by Ruqelo LLC, a company registered in the State of Wyoming, United States of America (“we,” “us,” or “our”). This Privacy Policy applies onlyto the PatientFlow MS website at patientflowms.com and related services (collectively, the “Service”).

This policy does not apply to any other Ruqelo LLC products, websites, or services. If you use other Ruqelo products, please refer to their respective privacy policies.

We may collect the following types of information:

• Contact form data: name, email address, hospital name, country, and message content when you submit our contact form.
• Payment information: processed securely by Stripe. We never store or have access to your full credit card details.
• Account information: collected through Clerk authentication when you create an account (e.g., name, email address).
• Usage analytics: basic information about how you interact with our website to help us improve the Service.

We use the information we collect to:

• Respond to your inquiries and support requests
• Process payments and fulfill orders
• Deliver purchased products and services
• Send automated reports if you are subscribed to Managed Pro
• Improve and maintain the PatientFlow MS Service

Contact form submissions are stored in Supabase, our database provider.

Important: Patient data from your hospital stays in your own Google Workspace account. We never access, store, or process any patient health information (PHI). PatientFlow MS templates and dashboards operate within your Google environment — not ours.

PatientFlow MS is a hospital patient flow management tool. Your patient and operational data lives in your own Google Workspace account, under your control.

Ruqelo LLC is not a covered entity under HIPAA and does not process, store, or transmit protected health information (PHI). You remain solely responsible for maintaining HIPAA compliance within your organization and for how you use Google Workspace and PatientFlow MS.

PatientFlow MS uses the following third-party services:

• Stripe — payment processing
• Clerk — user authentication
• Supabase — database storage for contact and account data
• Resend — transactional email delivery
• Vercel — website hosting
• Google Workspace — your hospital data lives here, in your account

Each third-party provider has its own privacy policy governing how they handle data. We encourage you to review their policies.

We use essential cookies only for authentication and core site functionality. We do not use advertising cookies, tracking cookies, or third-party marketing pixels on PatientFlow MS.

• Contact form data is retained for up to 2 years from the date of submission.
• Account data is retained until you request account deletion or until your account is terminated in accordance with our Terms of Service.

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data that we hold. To exercise these rights, contact us at support@patientflowms.com. We will respond to valid requests within a reasonable timeframe.

PatientFlow MS is not directed at anyone under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.

We may update this Privacy Policy from time to time. When we make material changes, we will notify registered users by email and update the effective date at the top of this page. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
